Mayor’s Court Clerk

Summary: Assists with managing the Mayor's Court, which handles minor offenses such as traffic violations, misdemeanors, and other local ordinance infractions.

Key responsibilities include:

  • Court Administration: Organizing court dockets, setting court dates, and notifying involved parties. Ensuring the court’s smooth operation and proper documentation.
  • Record Keeping: Managing all court-related records, including case files, court judgments, and fines collected.
  • Customer Service: Serving as a point of contact for the public regarding court processes, answering questions, and providing information about court proceedings.
  • Collections and Payments: Collecting fines, fees, and bond payments, and ensuring funds are deposited correctly. Work with fiscal officer to track and report collections.
  • Reporting and Compliance: Ensuring compliance with state reporting requirements and submitting records to appropriate state agencies, like the Bureau of Motor Vehicles.

Income Tax Clerk

Summary: Handles village tax administration, working closely with residents, businesses, and other municipal departments to manage income tax collections.

Responsibilities include:

  • Tax Processing and Filing: Assisting residents and businesses with filing local income tax forms, verifying filings, and ensuring compliance with tax regulations.
  • Collections and Receipts: Processing tax payments, managing accounts, and recording all revenue collected. Handling delinquencies and following up on unpaid taxes.
  • Customer Support: Responding to taxpayer questions, providing guidance on filing procedures, and clarifying tax-related inquiries.

Court Clerk & Income Tax Clerk Job REQUIREMENTS

This is a 2 prong position and the chosen candidate will spend 50% of their time/day in each role.

Mayor’s Court Clerk

1. Education and Experience:

  • High school diploma or equivalent is generally required; some villages may prefer an associate's degree or coursework in criminal justice, legal studies, or business.
  • Previous experience in a legal, court, or municipal administrative setting is preferred but not always required.

2. Skills and Knowledge:

  • Knowledge of Court Procedures: Familiarity with basic court processes and terminology is beneficial.
  • Attention to Detail: Must be meticulous in managing case files, records, and payment documentation.
  • Organizational Skills: Ability to manage court dockets, schedule hearings, and maintain orderly records.
  • Computer Skills: Proficiency in office software (Microsoft Office Suite) and potentially in specialized court management software.
  • Customer Service Skills: Strong communication skills to interact with the public, defendants, attorneys, and law enforcement personnel.
